2026 QUILT SHOW ENTRY GUIDELINES

 

VOLUNTEERING

Members are required to complete four hours of volunteer work at/for the quilt show to enter items in the show.

  • Sign up for volunteer jobs via SignUpGenius on the PVQA website under the “Quilt Show” tab.

  • If you need an exemption or an alternative way to fulfill the requirement, indicate this on the entry form. The Volunteer Coordinator will follow up with you.

 

ENTRY FORMS

An online entry form must be submitted for each item to be displayed in the show.

  • General Exhibit: Use the “Quilt Show Entry Form” on the PVQA website under the “Quilt Show” tab.

  • Live Auction: Use the “Live Auction Entry Form” on the PVQA website. Refer to the 2026 Live Auction Entry Guidelines for details.

 

DEADLINE

All entry forms must be submitted by Monday, January 12, 2026 at 11:59 p.m. Late submissions will not be accepted.

 

PHOTO

A photo must be provided with each entry. Photos should be:

  • Good quality

  • Straight-on (as much as possible)

  • Cropped

 

ACCEPTANCE

Entries are accepted at the discretion of the Layout Committee. A maximum of 300 quilts can be accepted due to limited hanging equipment and space.

 

LIMITS

  • Each person may enter up to five quilts.

  • A separate online entry form must be submitted for each quilt.

  • If entering multiple quilts, indicate the priority (1–5). Quilts will be considered for inclusion in priority order, subject to acceptance guidelines and available space.

  • Entries in the following categories do not count toward the 5-quilt limit: Bed Turning, Display Case, Wearable Arts, Memorial/Retrospective, Special Exhibit, Featured Artist/Speaker.

  • A quilt to be hung with both sides displayed counts as two entries.

 

FEES

  • Free for PVQA members who complete four hours of volunteer work

  • Free for artists under 18

  • $20 per entry for nonmembers

       PVQA members may not pay the nonmember fee in lieu of volunteering.

 

QUILTS/ITEMS FOR SALE

  • Quilts, wearable arts, and display case items may be offered for sale.

  • Bed Turning quilts may not be offered for sale.

  • See “Sales Guidelines” (below) for details.

 

WEARABLE ARTS

  • Garments entered in this division will be checked in with the quilts and displayed on mannequins in the Wearable Arts Exhibit area.

  • Entrants may also participate in the Wearables Walkabout (sign up via the entry form). Participants will model their own piece and may sign up for Saturday, Sunday, or both days. The coordinator will contact participants with further details.

  • Garments in the Walkabout will be temporarily removed from the mannequins and returned afterward. During this time, a sign will be placed on the display indicating that the items are in the Walkabout and will return shortly.

FOUR-INCH SLEEVE

Each quilt must be delivered with a securely attached 4-inch hanging sleeve on the top back edge (click here for a tutorial). Quilts without sleeves will not be exhibited.

 

QUILT LABEL/CLAIM CHECK

Each entry must have a 2026 Quilt Label/Claim Check securely attached. Download the label/claim check from the PVQA website under the “Quilt Show” tab.

 

WITHDRAWALS

To withdraw an entry, contact Entry Form Chair Kristie Shulman (via the Quilt Show Entry contact form or see the membership roster).

CHECKLIST

SUBMIT YOUR ENTRIES

  • Fill out the online entry form completely.

  • Submit entry form and photo by January 12, 2026 at 11:59 p.m.

 

PREPARE YOUR ITEMS FOR EXHIBIT

  • Attach a 4-inch hanging sleeve to each quilt to be hung.

  • Print and attach quilt label/claim check:

Quilts: lower-left back corner; bring quilt folded with label facing out.

Wearable Arts: inside back neck, bring garment on a coat hanger.

  • Remove ribbons/extra decorations that are not part of the piece.

  • Do not attach any signs or notes indicating that raffle tickets are being sold for the quilt.

The sale of opportunity quilt or raffle tickets by any group other than PVQA is not permitted during the quilt show.

  • Ensure that entry is clean, odor-free, and free of pet hair. PVQA reserves the right to refuse items that are not show-ready.

 

DELIVER AND PICK UP YOUR ENTRIES

  • Deliver entries to the Crosetti Building at the Fairgrounds on Friday, February 20, 2026 between 8:30 a.m. and 10:00 a.m.

  • Pick up entries on Sunday, February 22, 2026 between 4:45 p.m. and 5:15 p.m. (with claim check).

Sales Guidelines

  • The seller sets the price. PVQA collects a 25% commission; sellers receive 75% of the sale price, not including sales tax.

  • To calculate the sale price:

Divide your desired net proceeds by 0.75.

Round up to the nearest dollar.​

            EXAMPLE:​

Desired net proceeds: $200

Calculation: $200 ÷ 0.75 = $266.67

Round up: $267 → this is the sale price

Distribution:

Seller receives: $200.25

PVQA commission: $66.75

  • 9.5% sales tax will be added to the sale price and collected from the buyer.

  • Payment will be mailed to the seller within 14 days after the show.

  • Display Options:

  • Quilts in the General Exhibit may be displayed in the “Quilts for Sale” area at the seller’s choice. These quilts may be taken by the buyer immediately upon purchase.

  • Items in all other divisions remain on display until the show closes. Buyers will pick up their purchases with a claim check on Sunday, February 22, 2026, between 4:00 and 5:15 p.m. (unless other arrangements are made).
